01 / Remote project coordination

Keep the information
and follow-ups moving.

For contractors who need help keeping project communications, approvals, and outstanding items organized while their team runs the work.

What I can help with

  • RFIs: Prepare questions from the information you provide, maintain the log, and track responses and open items.
  • Submittals: Organize vendor documents, assemble packages for review, and track submission and approval status.
  • Materials: Follow up with vendors on orders, lead times, delivery dates, and missing documentation.
  • Schedules: Update schedules and action lists using progress information from you and your field team.
  • Communication: Record decisions, assigned responsibilities, due dates, and follow-up needs.
  • Reporting: Prepare a weekly project summary showing completed items, outstanding decisions, and upcoming deadlines.
Example deliverables

Updated RFI and submittal logs, a material status tracker, and a weekly action report with owners and due dates.

What I need from you: Relevant project documents, key contacts, current deadlines, and a designated person to provide field updates and approve decisions.

02 / Construction administrative support

Turn outstanding paperwork
into organized documents.

For owners and project teams with estimates, changes, billing, or closeout paperwork waiting for someone to pull the information together.

What I can help with

  • Proposals and scopes: Format and organize your pricing, inclusions, exclusions, and project information into a clear proposal.
  • Change orders: Assemble scope descriptions, cost backup, and supporting correspondence, then maintain the approval log.
  • Billing preparation: Prepare invoices or pay-application packages using the contract terms, progress, and amounts you approve.
  • Project documents: Organize contracts, plans, revisions, vendor information, and correspondence into a consistent folder structure.
  • Closeout: Collect and organize warranties, product documents, and outstanding closeout items against the project checklist.
  • Material lists: Prepare scoped takeoffs and material lists when included in the agreed work.
Example deliverables

A change order package ready for your review, an organized billing packet, or a closeout folder with a list of outstanding documents.

What I need from you: Source documents, your required forms, approved quantities or amounts, and clear instructions for who reviews and submits each package.

03 / Construction tracking system setup

See what is happening.
Know what comes next.

For contractors whose project information is spread across notebooks, emails, and separate spreadsheets—or whose existing trackers need a practical reset.

What I can help with

  • Project dashboards: A central view of job information, key contacts, deadlines, and open action items.
  • Job-cost workbooks: Organize budgets, expenses, labor, subcontractor costs, and approved changes in a usable tracking structure.
  • Document and approval logs: Track RFIs, submittals, change orders, and procurement status with consistent fields.
  • Task tracking: Define responsibilities, due dates, and follow-up status across your active projects.
  • Standard templates: Create repeatable project setup checklists, reporting formats, and document folders.
  • Handoff: Explain how to update and maintain the system so your team can use it after setup.
Example deliverables

A project tracking workbook, change order and submittal logs, standard folders, and written instructions for keeping everything current.

What I need from you: Examples of your current process, the tools your team uses, sample project information, and the decisions you want your system to support.

Choose the right amount of support

One-time help or
ongoing coordination.

A defined project works well for a tracker setup, document package, or backlog cleanup. Recurring support works well for weekly reporting, follow-ups, and active project administration.

How pricing and timing work

Each quote reflects the work involved, the number of projects, document volume, urgency, and frequency of support. The deliverables, schedule, price, and payment or deposit terms are agreed before substantial work begins.

Common questions

Can I hire TrakTrac for just one task?

Yes. Start with a defined task such as creating a change order log, organizing a project folder, preparing a document package, or setting up a tracking workbook.

Is this a remote construction project management service?

TrakTrac provides the coordination, documentation, reporting, and tracking support that a project manager or coordinator handles from the office. You and your field team retain responsibility for site supervision, field verification, and project decisions.

Do you visit job sites?

Services are delivered remotely. Project updates come from your team, including the photos, reports, documents, and progress information you provide.

Do I need to buy new software?

We start by reviewing your current tools and process. A spreadsheet or shared project board may be enough. Any additional tool costs are discussed before a system is set up.

Can you help with several active projects?

Include the number of projects and your main priorities in your inquiry. We will define a realistic scope and update schedule before work begins.
